Privacy Statement for Océ Online Recruitment System

The protection of personal data is of utmost concern to us. Thus we process personal data in compliance with applicable legal requirements designed to protect such data and ensure data security.

This privacy statement (“Privacy Statement”) covers the use of and conduct with personal data and information, provided by you to Océ’s online recruitment system which is offered for recruitment pur-poses at Océ and Océ Group companies (“Océ”). This Privacy Statement will provide you general information on the processing of personal data by Océ, Océ’s employees, partners and/or affiliates. Please read this Privacy Statement carefully prior to providing your personal data into Océ Online Recruitment System. If you do not agree with this Privacy Statement, you should not provide your personal data into the system.

Your data protection and data security

By submitting and saving your personal details to our online recruitment system, Océ will understand that you agree on giving your explicit consent to Océ and to the relevant third party that Océ has ap-pointed as its service provider, to control, save, transfer and process your personal data (processor on behalf of the controller).

Collection and Use of Personal Data

Océ collects your personal data for the purposes of managing Océ’s resourcing, recruitment activities as well as for organizational planning purposes across the Océ Group. Consequently, Océ may use your personal data in relation to the evaluation and selection of candidates including but not limited to setting up and conducting interviews and tests, evaluating and assessing the results thereto and as is otherwise needed in the recruitment processes, including the final recruitment. Further it might be necessary to process health data in order to assess your fitness for employment, especially if this is essential in view of the given job profile,

Océ may collect personal data directly from candidates as well as information sources that are publicly available. Océ may also conduct background checks and assessments and store information from those during the recruitment process. Océ collects personal data for purposes stated in this Privacy Statement.

As it is prohibited under EU Regulations 2580/2001 and 881/202 (Antiterrorism-Regulations) that any persons involved in business transactions, provide certain persons, groups and organizations monies and other economic values of any kind, we are further obliged to check your data with EU-Antiterrorism-lists.

We do not apply automated data processing methods in order gain decisions or otherwise use your data for profiling services.

Personal data shall not be retained in a form which enables the identification of a person for a longer period than required by the purpose. We will delete your personal data, if and so far there are not relevant anymore for the above purpose.

Notwithstanding the above Océ may always delete your data without further notice. Thus we recom-mend retaining copies of any personal data you may have provided to us.

If you are successful in the Océ recruitment process and become an employee, your personal data will become part of your employee file and may be used for employment/work-related purposes. Your personal data may also be subject to further additional privacy terms related to Océ employees.

Scope of this Privacy Statement

This Privacy Statement covers any personal data that you submit through our online recruitment sys-tem or Océ’s collection from the publicly available sources, including but not limited to:

  • Name, address, telephone number, email address, other contact information and your preferred ways to be contacted
  • Log-in and password and other such information used in connection with authenticating you
  • CV, cover letter, previous work experience, education level, competences and skills and how you heard about the position
  • Provided it is essential for the offered job: health fitness for the job.

If you intend to provide us with details of a reference or any other third party as part of your CV/ re-sume, it is your responsibility to obtain consent from the third party. By submitting such data Océ will assume that you have obtained such consent.

The Processing of personal data is based on your consent

The processing of personal data for the purposes of the recruitment process is based on your consent. You may at any time revoke your consent. This must be done in writing to the following email address: privacy@oce.com.

As processing of your personal data is a necessary part of our recruitment process, revoking your consent may lead to a situation where we cannot proceed with the recruitment process with you.

Transfers of personal data

Océ works with third parties who provide services to us. We may share your personal information with those third parties as part of the Océ recruitment process, website hosting, information technology consulting services, website management, data analysis, legal services, accounting services, and other administrative, back-up and security services. Océ will take appropriate technical, organizational and legal steps to secure your personal data.

Océ is part of the global Océ organization that has affiliates, business processes, management struc-tures, and technical systems that cross national borders. Therefore, Océ may use resources and serv-ers located in various countries across the world. Accordingly, your personal data may be transferred outside the country where you use an Océ website or otherwise provide Océ with your personal data. This includes countries outside the European Economic Area (EEA) that do not have laws that provide specific protection for personal data. However, Océ endeavors to implement appropriate privacy practices so that all processing of your personal data is conducted in accordance with this Privacy Statement.

Your personal data may be disclosed or otherwise accessed as is required by mandatory legislation. Such disclosures or access may include disclosure of your personal data to or access by e.g. law enforcement agencies in the countries Océ or its service providers and agents operate, as well as in the countries through which your personal data has been transferred according to this Privacy Statement.

Your rights

You have the right to receive information regarding your personal information that is stored with us at any time. You also have the right of adjustment, blocking or deletion of your personal data. Please contact privacy@oce.com. In order to enable a deletion of data, this data has to be stored in a lock file for control purposes. You can also request a deletion of this data as far as we don’t have to comply with legal archiving obligations. At your request we block your data in accordance with any such legal obligation. You can change or revoke your consent with effect for the future by notifying us.
It is your responsibility to ensure that you submit true, accurate and complete information to us and keep it up to date. You may also update your personal information.
